Agilyx North America is looking for a dynamic, hard-working, dedicated, fast-learning and experienced Project Coordinator to join our top-notch team in delivering Unit4 ERP and associated applications to our customers. You have experience working with small and large cross-functional teams on software implementation projects. You are committed to delivering amazing customer service. The Project Coordinator will work closely and under direction of a nominated Project Manager, the PMO Manager and/or Director of Professional Services.

You must be legally entitled to work in Canada and reside in Victoria or Vancouver, BC. Our North American headquarters is located in Victoria, BC. This is a remote role initially, but when we our office re-opens after COVID-19 restrictions are relaxed, the role will be both in the office and remote.

Significant requirements of the role are:

  • Assist in the development of external (client) and internal stakeholder relationships through your participation in project activities and problem solving
  • Facilitating the delivery of high-quality implementation services that leverage the customer's internal expertise
  • Assisting in the development and maintenance of project documentation (in association with appropriate functionally responsible managers)

In the context of the Agilyx project/program deliverables, the responsibilities for this role are as follows:

  • Monitor and report on the Agilyx project portfolio.
  • Develop and maintain project artifacts, including but not limited to the following:
    - Project schedule
    - Initiation documents, such as project charters
    - Closure reports
    - Deliverables registers
    - Change control registers
    - Action items lists; and
    - Others as required
  • Lead and attend project meetings and maintain/follow up resulting action items
  • Manage end-to-end delivery of small projects
  • Liaise with Project Managers, the Delivery Manager and Director of Professional Services to ensure effective scheduling and allocation of resources across the portfolio
  • Provide assistance to project managers and the Director of Professional Services in managing scope, including:
    - Analysing the scope of work
    - Performing change control activities; and
    - Raising and negotiating change orders
  • Support sales and pre-sales activities, such as RFPs and tenders, by providing expert advice on project methodologies and cost & schedule estimations
  • Where necessary, create and maintain financial models and perform financial analysis of current and/or potential engagements to optimize project budget expenditure
  • Review and update project document templates are required
  • Establish, maintain and enhance the reputation of Agilyx through the delivery of consulting services in relation to the above activities in the context of the client environment
  • Provide ongoing assistance to the project leadership in ensuring various ad-hoc tasks are performed diligently and in accordance with instructions
  • Assist in the use of Unit4 Implementation Methodology (U4IM) & Agilyx Way project management tools and undertake related tasks as directed by Project Manager
  • Ensure high quality planning documentation and materials are produced, maintained, and refreshed as required
  • Ensure that issues are identified and elevated to Project Manager/Director of Professional Services for management
  • Assist in the documentation of project issues in relation to the smooth operation of the project office in accordance with agreed principles of that project
  • Ensure that change control protocols are observed for all system and scope changes which occur as part of the build, test, and commission phases of the project/program


  • A minimum of 1 year of experience working on a software implementation project, preferably an Enterprise Resource Planning software
  • Highly skilled approach to relationship management with client representatives and their staff
  • Independent and strategic thinking
  • High levels of self-awareness and behavioural agility in client-facing circumstances
  • Attention to detail
  • Planning and organisational skills
  • Highly developed communication skills
  • High level abilities in Microsoft Office suite applications
  • A working knowledge of software implementation projects and project management practices
  • Ability to multitask and prioritize
  • Strong written, verbal and presentation skills
  • Strong interpersonal and teamwork skills
  • As this role is often customer facing, exceptional personal skills are required
  • Proficiency in project management software such as MS Projects is an advantage
  • Ability to travel extensively, including international as required. Applicants must hold a valid passport and driver's licence
  • Candidate must be already be legally allowed to work in Canada and reside in either Victoria or Vancouver, BC


  • Candidates holding a Project Management Certificate (or working towards one) is a plus
  • Experience in local government and Heath Authorities is a plus, but not essential
  • Previous experience within a Professional Services organisation preferred
