The Position
The Office Coordinator plays a vital role in ensuring the smooth and efficient functioning of the office environment. This position requires strong organizational, communication, and multitasking skills to manage daily office operations, support staff, and maintain a welcoming workplace atmosphere. This position reports to the Director of Human Resources.
We are looking for someone who is highly organized, resourceful, and proactive. The ideal candidate thrives in a dynamic environment, demonstrates excellent problem-solving skills, and has a strong ability to manage multiple priorities with professionalism. A positive attitude, strong interpersonal skills, and a commitment to creating an efficient and welcoming workplace are essential.
We are seeking someone that can work 4 to 5 days per week depending on business needs.

Responsibilities
Office Operations
- Responsibility for front desk and reception.
- Perform daily office activities, including scheduling and supply management.
- Ensure the office is organized, well-stocked, and clean to promote a productive work environment.
- Manage office equipment and coordinate with vendors for repairs or replacements as needed.
Administrative Support
- Assist with calendar management, meeting coordination, and correspondence for managers or teams.
- Handle incoming calls, emails, and inquiries, directing them to the appropriate person or department.
- Maintain accurate records, databases, and filing systems.
Employee Support
- Serve as the primary point of contact for office-related needs or concerns.
- Support onboarding activities for new hires, including workstation setup and orientation.
- Facilitate communication among employees to promote collaboration.
Event and Meeting Coordination
- Lead the social committee.
- Plan and execute office events with the social committee, such as team-building activities, celebrations, and meetings.
- Prepare meeting rooms with necessary materials, equipment, and refreshments.
Remote/Hybrid Work Coordination
- Provide logistical support for remote and in-office workers, such as arranging shared workspaces or tech requirements.
Compliance and Safety
- Ensure office policies are upheld.
- Maintain workplace safety by coordinating regular inspections and addressing potential hazards.
Requirements
- Proven experience in office administration or a similar role.
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Proficiency in office software (e.g., Microsoft Office suite).
- Ability to handle sensitive information with discretion.
- Problem-solving skills and adaptability in a dynamic environment.
- Detail-oriented and proactive.
