Job Description:
We are seeking a Project Coordinator to manage and track internal projects, keep them on schedule, and ensure seamless communication across teams. This role involves overseeing project timelines, raising flags when needed, coordinating product management activities, and maintaining project and CRM data using tools like Asana and HubSpot.

Key Responsibilities:

- Track and report project progress, ensuring key deadlines are met.

- Raise yellow/red flags when risks or roadblocks are identified.

- Manage project timelines, milestones, and documentation using Asana.

- Coordinate meetings and gather input from relevant stakeholders.

- Collect and present key data to support product management decisions.

- Facilitate cross-department collaboration to maintain project flow.

- Set up reports, manage workflows, and build dashboards in HubSpot.

- Maintain CRM data integrity, enabling teams to easily access information.

- Organize and run meetings, capturing key decisions and action items.

- Streamline processes and improve operational efficiency across projects.

- Support leadership with continuous improvement initiatives.

- Maintain oversight of active project portfolios and their status.

Qualifications:

- Candidates must be living in the Greater Victoria area and able to commute to the company office.

- Proven experience managing projects using tools like Asana, Trello, Jira, or similar platforms (more than basic familiarity).

- Strong hands-on experience with HubSpot or equivalent CRM systems, including building reports and managing workflows.

- Demonstrated ability to manage complex projects across multiple teams.

- Strong organizational and multitasking skills.

- Excellent communication and stakeholder management.

- Analytical mindset with strong problem-solving skills.

- Comfortable working in a fast-paced, evolving environment.

Experience:

- Minimum 3-5 years of experience in project coordination, project management, or similar roles.

- Experience in coordinating cross-functional teams and managing multiple projects simultaneously.

- Background in technical, engineering, or manufacturing environments is an asset.

- Background in managing IT systems is an asset

- Background in B2B or B2G relations is an asset

Skills:

- Advanced proficiency with project management tools (Asana, Trello, Jira).

- Strong hands-on experience with HubSpot or equivalent CRM systems.

- Exceptional organizational and time-management skills.

- Excellent written and verbal communication abilities.

- Proficiency in MS Office Suite and Google Workspace.

- Critical thinking and proactive problem-solving approach.

Work Hours:

Full-time, in office 40 hours per week

Core hours: Monday to Friday, 9:00 AM – 5:00 PM

Flexible scheduling options available

Salary Range:

$50,000 – $75,000 CAD annually, based on experience and qualifications
