Job Description:

We are seeking a proactive Systems & Integration Coordinator to join our Operations team. This role focuses on identifying inefficiencies in our internal workflows and improving them by connecting key software systems, reducing manual work, and implementing smart, scalable solutions.

You’ll work across departments, to automate repetitive tasks, streamline data flows, and support internal tooling needs. While the role involves light IT set up and support, the primary responsibility is to act as the glue between business operations and technology. You’ll be hands-on in building automations, working with APIs, and configuring tools that keep our systems running smoothly.

The ideal candidate is curious, technically savvy, and eager to implement meaningful improvements that make teams faster and more efficient.


Key Responsibilities:

- Business Systems & Workflow Automation

- Collaborate with operations, sales, manufacturing, shipping, and accounting to identify and eliminate manual, repetitive processes.

- Design and implement internal system integrations using available APIs, automation platforms, or lightweight scripts.

- Connect and streamline workflows between tools like HubSpot, QuickBooks, UPS WorldShip, Tulip, and internal spreadsheets or databases.

- Build internal tools or automations to reduce operational overhead — e.g., automatic invoice generation, order tracking updates, shipping notifications.

- Support the creation and maintenance of clean, consistent internal data across platforms.

- Prioritize and manage a backlog of integration and workflow improvement projects in collaboration with the Operations team.

Internal IT Support & Systems Management

- Provide hands-on technical support for company workstations, software, and network infrastructure.

- Maintain and troubleshoot hardware, including desktops, laptops, peripherals, and security cameras.

- Manage and support SaaS platforms used by the company, ensuring smooth operation and assisting users with issues.

- Oversee network infrastructure, including routers, switches, VPNs, and firewalls.

- Implement and maintain cybersecurity best practices, including user access controls, endpoint protection, and security monitoring.

- Track IT assets and manage procurement of hardware and software as needed.

Qualifications:

- Candidates must be living in the Greater Victoria area and able to commute to the company office.

- Strong systems thinking and problem-solving abilities — able to spot inefficiencies, understand cross-functional workflows, and propose scalable improvements

- Comfort working with APIs and integration tools to connect systems and automate workflows

- Familiarity with low-code platforms and basic scripting to support internal automations

- Interest in internal tooling, process improvement, and reducing operational friction through smart systems

- Working understanding of data structure, version control, and documentation best practices is an asset

Experience:

- 3+ years of experience in roles such as business systems coordinator, operations technologist, systems integration specialist, or similar

- Hands-on experience improving internal workflows through automation or system integrations

- Experience working with SaaS platforms such as CRMs, logistics tools, or accounting systems (e.g., HubSpot, QuickBooks, UPS WorldShip, Tulip)

- Background working in operations-heavy environments, fast-moving startups, or small teams where cross-functional problem-solving is key

- Experience working closely with non-technical stakeholders to scope, prioritize, and deliver internal tooling or systems improvements

Work Hours:

Flexible Working Hours. The position is in person at Quadra and Mckenzie.

Salary Range:

$50,000 - $70,000
